Refunds and voids, including an earlier shift

Last updated October 26, 20262 min read

Cancel an unpaid order, refund a paid one (even from an earlier shift), or fix the payment method a cashier picked by mistake.

Steps

  1. Open the order and tap More actions.
  2. If the order is not paid yet, tap Void Order. Voids are only allowed before payment.
  3. If the order is paid, tap Refund Order. Choose ENTIRE ORDER or SELECT ITEMS, pick a reason, and choose where the stock goes (tick Mark as Waste if the food cannot be resold).
  4. Tap PROCESS REFUND. Tappya shows how the money goes back, for example "Give back: Visa 40.00 + Cash 18.00". Tap Refund to confirm.
  5. To refund an order from an earlier shift, open Orders, tap the history icon Refund an earlier shift's order, type the order or receipt number and tap Find. Then refund it as above.
  6. To fix a wrong payment method on a paid order, tap Change Payment Method, pick the payment to change and the new method, and tap CHANGE.

Good to know

  • Money goes back the way the customer paid: card and wallet payments first, then cash. Refunding to a different method needs a manager (Change method (manager)).
  • You cannot refund more than what is left to refund on the order.
  • Earlier-shift refunds are recorded in today's shift. The till searches its last 30 closed shifts, then the cloud if it is online.
  • Change Payment Method never changes the amount, does not offer card-terminal methods, and stops working once the session is closed.
  • Grubtech and other aggregator orders cannot be voided or refunded on the till. Reject them before accepting instead.
  • Voids, refunds and payment changes each need a permission. If a button is missing, ask your manager.
