How-to
Purchase orders, receiving and bills
Last updated October 24, 20261 min read
Order from a supplier, receive the goods on one form, and get the supplier bill drafted for you.
Steps
- Go to Purchasing, open Purchase Orders, and create the order with the supplier and items.
- Click Submit for Approval. A manager clicks Approve.
- When the goods arrive, open the order and click Receive Goods. The receiving form opens with the ordered quantities filled in.
- Enter what actually arrived, the target warehouse and unit cost. Add batch and expiry for batch-tracked items.
- Click Receive Goods to update stock.
- Open Supplier Bills. A draft bill is waiting, priced at the PO price for what you received. Check it and post it.
- When you pay, click Record Payment.
Good to know
- Approving a PO creates a draft receipt for you, so receiving is quick.
- For goods without a PO, use Receiving with Direct mode.
- Draft bills are created only when both purchasing and accounting are on. If one is missing, check Supplier Bills.
- Charges on a bill can only change while it is a draft.
- A processed receipt is read-only.
