Closing your shift: cash count, variance and the Z-report

Last updated November 5, 20262 min read

At the end of a shift the POS asks you to count the cash drawer, explains any difference, and produces the Z-report for the session. This article walks through each step.

During the shift: cash in and cash out

Use Cash In and Cash Out on the My Shift screen when cash enters or leaves the drawer for reasons other than a sale, for example adding change or paying a supplier.

  1. Tap Cash In or Cash Out.
  2. Enter the amount and a reason.
  3. Confirm. The movement is saved with a time stamp and appears in the shift history.

Log any last cash in or cash out before you end your shift, so the expected cash is correct.

Closing the session

  1. Tap Close Session.
  2. Finish open orders. If orders are still open you can complete them, or transfer them to the next session. Transferred orders stay on their tables and are left out of this Z-report.
  3. Count the drawer. Enter the cash you physically counted in Declared Closing Balance. The field starts empty on purpose, so count before you look at any totals. If several cashiers worked the session, enter an amount for every open drawer.
  4. Review the variance. The POS compares your count with the cash it expected. If the difference is large you will see Large Cash Variance: choose a reason (for example Counting error, Change given wrong, Tip left in drawer, Payout not recorded, Card/cash mix-up or Other), add a note, and tick the acknowledgment box.
  5. Confirm. The Z-report for the session is calculated on the device, so it works without internet, and can be printed with Print Z-Report.

Reports on the POS

Open Reports to see the current or a past session. The sections are Dashboard, Sales Details, Payment Details, Staff, Void / Refund, Revenue Centers, Product Mix, Session Trends and Session Z-Report. Each report can be previewed, printed or exported. Printing needs a configured printer.

Tips

  • If the day was closed automatically without a count, the Z-report prints when the next day is opened.
  • Recount before accepting a large variance. Every reason and note is kept for audit.
